Conference Information for Presenters

Thank you for being a part of the 63rd NCLA Biennial Conference! We are so looking forward to having all of you in Winston-Salem in October for an amazing conference! In order to help you prepare, the Programs Committee has put together some information and resources for you, our presenters. 



Conference Program/Schedule: Sched.com

In lieu of a print program this year, we are using Sched.com. You can view and update your profile and presentation information via Sched at https://ncla2019.sched.com. If you have not yet set up your Sched account and are unable to log in, please contact nclaprograms@gmail.com

Sched also provides you with the option to attach links, slides, and other documents to your presentation. If you want to assign a note-taker for your session and include those notes in Sched, you can absolutely do that! 

Technology 

    • Rooms for presentations and panel discussions will be equipped with a projector, screen, and microphone. 

    • Rooms for Conversation Starters will not be equipped with any technology. 

    • Laptops will not be provided in the rooms.

    • Clickers will be provided in the rooms (USB input required).

    • Speakers (for playing audio/video through your device) will not be provided. Please bring your own external speakers if this is a part of your presentation.

    • Projector hookups - All projectors will have an HDMI input and an HDMI cord to plug into your device. If your device does not have an HDMI port, please bring your own adapter!  

    • USE. THE. MICROPHONE. If your room is equipped with a microphone, use it. This will make it easier for everyone in the room to hear the presentation at the same volume, including those who may have hearing issues. 

    • If you have technical difficulties, the Benton’s AV team will be on site to help. 

    • You are welcome to visit rooms to check out the room setup before your session. We have provided a 10 minute break between sessions to set up.

Information and Suggestions by Presentation Type: 

Presentations and Panel Presentations

    • Technology (see above)

    • Each presenter should use the microphone while speaking. 

    • Plan to leave 5-10 minutes at the end of your session for questions. If you are able, pass the microphone to the person asking the question so that they can be heard clearly. If you are unable to do so, repeat the question into the microphone. 

    • Post slides, links, and additional information in Sched so that people can access it during and after your session.  

Lightning Rounds 

    • Technology (see above)

    • Each presenter should use the microphone while speaking.

    • Each lightning talk should last between 5-7 minutes, depending on the total number of presentations. 

    • Allow 1-2 minutes of transition time between each presentation, and at least 10 minutes for questions for all presenters at the end. 

    • Designate a moderator for the session who will monitor the time for each presentation. 

    • In order to cut down on transition time, load all presentations onto a single device before the session.  

    • Post slides, links, and additional information in Sched so that people can access it during and after your session.

Poster Sessions

    • Poster boards are 4 feet tall by 8 feet wide.

    • Pushpins and thumbtacks will not be provided.  Please bring your own.

    • There will be a shared table beneath each double-sided poster board for handouts, business cards, and other items.

    • Hang your poster no later than 30 minutes before your session begins.

    • Post a PDF or link to your poster in Sched so that people can access it during and after the session.

    • Post slides, links, and additional information in Sched so that people can access it during and after your session.

Conversation Starters 

    • No technology will be provided. 

    • The room will be arranged boardroom style to encourage conversation. 

    • Provide printed handouts and/or discussion questions to get the conversation going. 

    • Designate a note-taker to keep track of ideas generated in the discussion and share the notes in Sched.
